Training for student councils: How to organise events with high-profile guests

Last year we held an interactive training for student council presidents from across the country in the Great Hall of the National Academy of Music, at the invitation of the
National Representation of Student Councils.
The topic? "How to organize events with dignitaries and guests."
The event has become a platform for practical training aimed at creating professional skills and confidence when organising events with important guests and delegations.
Highlights of the training
Protocol and etiquette
In the first part of the day we conducted a simulation to give participants practical knowledge of:
- 🎩 Dress styles - how to choose the right dress code for the occasion.
- 🤝 Meetings between delegations - basic protocol rules for formal events.
- 🏆 Hierarchical order of dignitaries - according to the rules of state protocol.
- 🍽️ Table Etiquette - demonstration on setting the table for a 5-course menu and delivering gala dinners.
Models for organizing events
In the second part of the day the participants were divided in teams and given practical tasks:
- 📨 Writing official invitations for institutional presence.
- 💸 Establish budget with major expenditure items.
- 🗂️ Structure a Gantt chart to allocate responsibilities.
- 📣 Compose a press release.
- 🍴 Menu selection and catering.
- 📝 Preparation of program for the event.
- 📲 Integration of technology into the organizing process.
- 🙌 Create a volunteer profile and a plan to manage them.
- 📥 Develop a back-up plan to minimize risks.
Results and feedback
The training was highly participatory. We conducted a satisfaction evaluation at the end of the day, and the results were excellent!
